Minimum Qualifications

(Applicant must meet all of the minimum requirements)

1. Associate degree;
2. Two years of full-time or equivalent work experience in an office environment with current knowledge and proficiency in Microsoft Office suite, to include database applications.
3. Two years of full-time or equivalent work experience completing Human Resources related duties or employment recruiting duties.
4. Experience multi-tasking and prioritizing tasks to meet deadlines.
5. Experience working in a public facing office setting providing excellent customer service (internal/external customers).

Preferred Qualifications

1. Associate degree in Human Resources, Office Systems Technology, or Business Administration.
2. Experience working in human resources in a college or university
3. Experience with Adobe Pro, Zoom, SharePoint, or similar software.
4. Experience using Colleague or similar information system
5. Experience with Microsoft PowerPoint or similar presentation software.
6. Proficiency in a foreign language such as Spanish, an East Slavic language, and/or American Sign Language.

Position Description

Job Description Summary

Serves as primary contact for information and assistance related to the hiring of part-time temporary, adjunct, and student employees of the College. Ability to maintain strict confidentiality regarding applicant, employee, and former employee information. Supports the selection and hiring process by providing accurate, courteous, and efficient service to the various internal and external customers served by this position. Collects, evaluates, and maintains required faculty and staff credentials. Demonstrates RISE for people as individuals and shows a commitment to providing a welcoming, supportive, and inclusive environment.

Duties

1. Follows the Colleges Policies & Procedures and applicable laws related to employment, hiring, credentials, and related areas.
2. Assists in updating training, reference materials, and procedural documents related to the employment process.
3. Provides spreadsheet reports on part-time vacancies, new hires, and other related hiring data, as needed.
4. Serves as a resource for candidates inquiring about positions and needing assistance with their application.
5. Assists with checking references for potential full-time and part-time regular new hires.
6. Works with hiring supervisors of part-time vacancies regarding updates and general maintenance of their postings.
7. Meticulously maintains and regularly audits the tracking spreadsheet, paper files, and ePersonnel Action Forms for part-time pending hires and secondary positions.
8. Provides support for supervisors and new hires throughout the hiring process (part-time limited and adjuncts).
9. Conducts background and other checks on all part-time temporary, adjunct, and student employee new hires, including additional clinical background checks required for clinical instructors. Review results and refers cases to HR Coordinator or Director of Employment & Employee Relations as needed and maintains proper documentation for personnel files.
10. Documents tracking of foreign nationals utilizing Windstar program software.
11. Enters Full-time Regular and Part-time Regular postings into the Applicant Tracking System. 12. Creates the Full-time Regular vacancy file and posts the position on the North Carolina Community College System website.
13. Receives, reviews, and logs incoming official and unofficial transcripts and credentials for new employees.
14. Works with HR Coordinator or Director of Employment & Employee Relations to schedule full-time interviews and email interview confirmations.
15. Compiles interviewer packets for full-time interviews.
16. Ensures the electronic submission of North Carolina New Hire Reporting Forms regularly, in compliance with applicable laws.
17. Gathers new hire paperwork for new hires, entering the e-Verify, and ensuring all paperwork is completed for part-time new hires.
18. Monitors, distributes, and responds to inquiries in the HR email inbox in a timely manner.
19. Answers HR main phone line and distributes calls to appropriate HR staff.
20. Keeps I-9 files organized and up to date.
21. Acts as the department point of contact for the credential verification processes including collecting and evaluating credentials required for faculty and staff.
22. Trains and provides guidance to supervisors on the use of the electronic Personnel Action Form (ePAF) system for hiring, re-hiring, internal secondary employment, and documenting credentials.
23. Works collaboratively with the HR Data Management Team as the primary administrators of the ePAF system.
24. Works with other HR Staff to provide coverage of the front desk.
25. Contributes to the College Vision, Mission, Values, and RISE statement.
26. Supports workforce diversity in all its aspects.
27. Performs other duties as assigned.
